1. Booking an appointment
Appointments can be booked through the Women’s Wellness Collective website or, where appropriate, directly with the clinic.
A £50 deposit is required to secure an appointment. The deposit is paid at the time of booking and will be deducted from the total cost of your consultation.
Following successful payment of the deposit, you will receive an automated booking notification from our booking system. We will also send you a separate confirmation email with the relevant information for your appointment. *Your appointment is considered confirmed once you have received confirmation from Women’s Wellness Collective.*
By making a booking, you confirm that you have read and agree to these Terms & Conditions.
2. Before your appointment
Before your consultation, we may ask you to provide some basic information about your medical history, current health and the reason for your appointment.
We may also ask you to complete a medical history questionnaire before your appointment. Completion of the questionnaire is optional, but providing this information in advance can help us prepare for your consultation and ensure that we can focus as much of your appointment time as possible on your individual needs.
Please provide information that you believe is relevant and accurate. If there are any changes to your health or circumstances before your appointment, please let us know.
3. Your consultation
Our consultations are individualised and tailored to your medical history, symptoms, concerns and needs.
The content of your consultation, including any physical examination, will therefore vary between individuals. Physical examinations are undertaken where clinically appropriate and may include different aspects of assessment depending on your circumstances.
Not every examination or assessment will be required for every patient.
Where appropriate, we may recommend further assessment, investigation or treatment through your GP, NHS services or another healthcare professional.
4. Prescriptions
Where clinically appropriate and safe to do so, a private prescription may be provided as part of your consultation.
The cost of issuing the private prescription is included within your consultation fee.
The cost of any medication prescribed is not included in the consultation fee and is payable directly by you to the dispensing pharmacy. Medication costs vary between pharmacies and are outside the control of Women’s Wellness Collective.
5. Payment
The remaining balance of your consultation fee is normally payable on the day of your appointment.
Payment can be made by card using our payment terminal.
If you are unable to make payment on the day, we can issue an invoice. Payment can then be made using the secure payment link provided or by direct bank transfer. Invoices are payable within 14 days.
The consultation fee must be paid in full before your written consultation report is released.
6. Consultation reports
Where a written consultation report forms part of your service, the report will be prepared following your consultation.
The report will be provided once the consultation fee has been paid in full.
We do not routinely send consultation reports directly to your GP. We recommend that you share your report with your GP or other relevant healthcare professional where appropriate, to support continuity of care.
7. Follow-up consultations
Follow-up consultations are available where clinically appropriate and are booked separately from the initial consultation.
Follow-up appointments have their own fee and duration, as detailed on the relevant service page at the time of booking.
8. Cancellation and rescheduling
We require at least 48 business hours’ notice if you need to cancel or rearrange your appointment.
Where an appointment is cancelled or rearranged with at least 48 business hours’ notice, your £50 deposit can be transferred to your rearranged appointment.
Deposits are non-refundable.
Where an appointment is cancelled with less than 48 business hours’ notice, the £50 deposit will normally be retained and will not normally be transferable to another appointment.
In exceptional circumstances, Women’s Wellness Collective may, at its discretion, agree to transfer a deposit following a late cancellation.
If we need to cancel or rearrange your appointment, we will contact you as soon as possible and will offer you the option of transferring your deposit to another appointment or receiving a refund of the deposit.
9. Non-attendance
If you do not attend your appointment and have not cancelled or rearranged it in accordance with our cancellation policy, the appointment will be treated as a no-show.
The £50 deposit will be retained and Women’s Wellness Collective reserves the right to charge the outstanding balance of the consultation fee.
10. Scope of our service and urgent care
Women’s Wellness Collective provides planned, non-emergency consultations. We do not provide an emergency assessment or treatment service.
If, during your consultation, we identify a concern that requires urgent or emergency assessment or treatment, we will advise you to seek appropriate care through your local NHS service. Depending on the circumstances, this may include your GP, NHS 111, an urgent treatment service or an emergency department.
If you experience a medical emergency outside of your appointment, please seek appropriate emergency medical assistance rather than contacting Women’s Wellness Collective.
11. Clinical decisions and individualised care
All clinical assessments and recommendations are made on an individual basis, taking into account the information available to the clinician at the time of your consultation.
The purpose of a consultation is to provide assessment, advice and appropriate treatment or management recommendations within the scope of our service. A particular examination, investigation, treatment or prescription cannot be guaranteed where it is not considered clinically appropriate or safe.
Where we believe that further assessment or treatment is required outside the scope of our service, we will advise you regarding appropriate onward care.
12. Communication with other healthcare professionals
Where appropriate, we may recommend that you share information from your consultation with your GP or another healthcare professional involved in your care.
We do not routinely communicate directly with your GP unless this has been agreed with you or is considered clinically appropriate.
13. Changes to appointments and services
Women’s Wellness Collective reserves the right to change appointment availability, services, fees or these Terms & Conditions from time to time.
The Terms & Conditions applicable at the time of your booking will apply to that appointment.
